ATTENTION!!  (updated 08/16/11) - The 2011 Charge Conference Schedule has been emailed to all pastors and is also now available online (see link below.) The 2011 Charge Conference Forms are now available and have been picked up, emailed or mailed by Post Office mail to all pastors and are also available here online at the District website (with the exception of the Pgs. 1-11 of the Charge/Church Officers-Nominations forms prepared by the Conference Office and only available in paper form) which have been picked up or distributed to all pastors. If you have not received your packet, please contact the District Office. You will click on the following link titled "2011 Charge Conference Forms", that will open a zip file which contains all the forms and informational documents. Check back to this webpage (noting the update date) frequently to find any UPDATED FORMS AND/OR INFORMATION. Read the instruction sheet carefully, and then if you have any questions regarding the 2011 Charge Conference Forms, please contact the District Office and we will do our best to answer your concerns.

For those with OFFICE Word and Excel programs (those forms ending in .doc or .xls: The forms and informational documents are in a zip/compressed folder - you must open the folder, and then open each form within that folder. To open the zip folder (double click) on the folder "2011 Charge Conference Forms.zip", then (double-click) again on the folder with the same name - this will give a list of all forms (double click on the form you wish to view, print or save.) You should (must) save each form to "My Documents" on your computer and then work with it, or save them to a CD/disk/flashdrive. (It is best to always save the form and then work with it and not to work in or change the forms in the zip folder.) Save one for each church on the charge. You are free to complete the forms on your computer and then print them out or print the forms and fill them out (as long as you type or print legibly.) 

If you do not have the Word and/or Excel programs, you can call the District Office and we will make the forms also available in pdf form (you will need Adobe Acrobat Reader which is installed on most computers - but you can download Adobe Reader for free): All the forms will be available in one file; however, these forms will NOT be fill-in, but rather you will need to select those forms you need, print the forms, and fill them out by hand or type in the information (again, please type or print legibly.)

Starting this year, there will not be separate sheets to report the 2012 Fair Share and District Fund apportioments at your Charge Conference. The 2012 Fair Share (conference apportionments paid to the Conference Treasurer) and the 2012 District Fund (district apportionments sent to the District Office) are now on excel lists which are included with the charge conference forms. Please find your church/es amounts on the separate lists and share this information with the appropriate committees and persons before your Charge Conference, making sure the charge and local church treasurer receive the amounts due. If your 2012 Fair Share has increased significantly, and you feel there is an error, contact the District Superintendent ASAP!!

Pgs. 1-11 of the Charge/Church/Committees forms were prepared by the Conference office again this year and will only be available in paper form and WILL NOT BE available online and will have to be picked up at the District Office or a district meeting. PLEASE BE VERY CAREFUL NOT TO MISPLACE OR LOSE THESE FORMS, AS THIS WILL BE THE ONLY COPY IN EXISTENCE!! The instructions for completing the forms were prepared by the Conference Office and are online with the other forms in a file titled "2012 Charge-Church Officers Forms Instructions" - PLEASE follow them closely. Again, these forms will only be available in paper form and will have to be physically sent or brought into the District Office upon completion. They will be available at the District Office anytime. There will be a Pastor/Mates meeting on Wednesday, September 14, 2011 from 9:00 AM - 1:00 PM, at the Burlington UMC to explain the forms and information pertaining to them - all pastors should attend.

We ask that you look over the subscription information concerning the INTERPRETER Magazine very closely so that those subscriptions can be brought/kept up-to-date. The INTERPRETER Magazine subscription information should have been or will be sent directly from Interpreter and you will send directly back to them (not to the District Office.) 

The forms have changed slightly since last year and can be done on your computer and then either emailed or sent to the District Office (with the exception of Church/Charge Officers and Committee forms Pgs. 1-11.)  Completed Charge Conference forms MUST be into the District Office NO LATER THAN a week before your Charge Conference date!!! Please, no exceptions! If you need to change your Charge Conference date or time, or if you need to have an individual charge conference, please contact the District Superintendent ASAP! Get started now ... you know what needs to be done.

We do realize there are pastors who do NOT have a computer and/or internet access, and we will print them a set of the Charge Conference forms and information and get it to them by other means. If you are a pastor who DOES have internet access and can go to the District Website, BUT does not have either WORD and/or EXCEL programs or access to pdf files, please inform the District Office as to what forms you will be needing so we need only print the specific forms you cannot pick up from the website.  As you can imagine, this saves the District Office time and expense, which is one of the major benefits of having our own District Website!
